Is business dashboard development the right choice?

A good fit when

  • Management reports are compiled by hand from several systems every week or month.
  • Different teams report different numbers for the same metric, and you need one agreed definition.
  • Your data lives in ERP, CRM, finance or operations systems that can be queried or exported.
  • Dashboards need to sit inside your own portal or product, or need access rules a packaged BI tool handles poorly.

Consider another option when

  • Your team already licenses a BI tool such as Power BI or Looker Studio and mainly needs reports built in it; configuring that tool may be quicker.
  • Source data is incomplete or inconsistent. A data clean-up or system integration project should come first.

Data, controls, responsibilities and ownership

Data migration and integrations

  • Each figure is only as good as its source. We profile the source data early and report gaps, duplicates and inconsistent codes before building charts on them.
  • Refresh frequency is set per source: some systems allow near-real-time queries, others only a nightly export. Each dashboard shows when its data was last updated.
  • KPI definitions (for example how revenue is recognized, what counts as gross margin or an active customer) are agreed with your finance team and the metric owner before build, and recorded in the KPI catalogue.
  • Read-only access to source databases or APIs is preferred, so reporting cannot change operational data. Some vendors restrict or charge for API access, which we check early.
  • Where several systems are combined, we agree matching rules (customer IDs, product codes, currencies) and how mismatches are reported.

Roles, approvals and audit

Metric ownership
Each KPI has a named owner who approves its definition and any later change to it.
Change history
Changes to metric definitions and dashboards are versioned, so a figure that moves can be traced to a data change or a definition change.

  • Running costs by category: hosting and compute for data processing, database or warehouse storage, any API access fees charged by source-system vendors, monitoring, and an optional support agreement. Amounts depend on data volume and refresh frequency.

It depends on the source. Some systems can be queried in near real time; others only provide a scheduled export, for example nightly. We agree the refresh frequency per source and show the last-updated time on each dashboard, so no one has to compile numbers by hand.

We agree metric definitions up front and reconcile the dashboard figures against your existing trusted reports during UAT, so the numbers are validated before go-live. Where they differ, we trace the difference to a data issue or a definition and agree the fix with the metric owner.
